• National Directors are granted exclusive rights to promote and organize local WFC Prize events in their respective countries immediately upon registration, with no threshold of 50 applicants required to maintain exclusivity.
• However, no local events can be held without at least 50 participants to ensure the viability of the competition.
• All applications must be submitted through the WFC platform using the form provided. Both the WFC and the National Director will have full access to the application details for transparency and management.
• Applicants can choose to pay directly through the WFC system or select the option to pay the National Director. Once payment is confirmed by the National Director, WFC will add the applicant to the WFC Instagram, ensuring exposure from the start.
• Every challenge will be conducted online under the management of the WFC, regardless of whether participants are working with a National Director or not.
• National Directors can guide and explain the challenges to participants, but all participants are required to upload their challenge entries directly to the WFC platform. This ensures uniformity and fairness in how challenges are conducted globally. National Directors may assist participants further, but the submission responsibility lies with the participants.
• Regional Finales: National Directors are granted the right to organize and host regional finale events to select the top applicants who will advance to the grand finale in Amsterdam. However, regional finales cannot be held with fewer than 15 participants to ensure the event’s viability.
• Casting Events for Sponsored Applicants: National Directors are also permitted to hold casting events specifically for applicants seeking sponsorship. Sponsors may choose to cover the application fees for selected applicants based on the outcomes of these casting events.
• National Directors will have a say in who advances to the grand finale, but WFC will have ultimate control to ensure transparency. No discrepancies between National Directors and WFC on finalist selection will affect the outcome, as all decisions will be made collaboratively and transparently.
• Local finalists in each category will compete in the global finale in Amsterdam, where their entries will be showcased to the world.
• National Directors are responsible for promoting the competition in their region, ensuring the transparent submission of applications, and supporting participants through the competition stages.
• National Directors must also ensure that all participants understand the importance of online exposure and encourage them to submit their entries for challenges on time.
• Hybrid or Online Event Possibility: While the WFC Prize grand finale is planned as a physical event in Amsterdam, WFC reserves the right to convert the event into a fully online or hybrid format if necessary, particularly if there are not enough funds to hold the event in person.
• Notification and Preparation: In the event of a change to the event format, WFC will notify all National Directors and participants at least 30 days prior to the grand finale date. Participants will receive guidelines on how to participate in the online event, ensuring they have ample time to prepare. • Commitment to Fairness: Whether the event is held in person or online, WFC guarantees that the competition and judging process will maintain the highest standards of fairness, transparency, and global exposure for participants.
• All WFC Prize applicants must be registered online through the WFC platform. Payment of the participation fee is required to secure their spot. Once payment is confirmed, the participant’s profile will be shared on the WFC Instagram and other social media platforms. If a participant is not featured on WFC social media, this indicates they have not completed their registration and are not officially participating in the competition.
• For participants who cannot process payments online and choose to pay through their National Director, the National Director is responsible for confirming payment with WFC within 24 hours. WFC will then immediately add the participant to social media. National Directors must not hold back any participant information or delay this process. Failure to confirm payments promptly may result in the National Director losing not only their exclusivity rights but also their license to operate under WFC if it is found that the delay was intentional.
• Every registered participant is required to take part in the online challenges managed by WFC before the local finale. The National Director may provide guidance and support, but it is the participant’s responsibility to submit their challenge entries on time through the WFC platform. If a participant fails to submit entries for the online challenges, they will not be eligible to advance to the local or global finales.
• Any participant who fails to adhere to the payment and challenge submission requirements will be disqualified from the competition, and their participation will be revoked.
• Prior to beginning any agreement with a National Director, WFC will discuss and agree on how payments will be handled, depending on the specific conditions in each country. All payment details, including the methods and terms, will be outlined in an appendix specific to each country.
• National Directors are entitled to a fee of €5 for each participant. If payments are made directly to WFC, National Directors will receive their fee above the WFC contribution amount. The exact method for collecting and distributing this fee will be outlined in the appendix for each country to accommodate local regulations and practices.
• By signing this agreement, the National Director agrees to all the terms and conditions as stated and acknowledges their responsibilities in managing the WFC Prize in their region. Any breach of these terms may result in the loss of their exclusivity and license to operate.
• The National Director agrees that WFC will not be held liable for any damages, loss of business, or interruptions that may occur due to unforeseen circumstances or operational challenges related to running regional events.
• WFC’s liability in any dispute or legal claim will be limited to the amount of fees paid by the National Director for their participation in the WFC Prize. WFC will not be liable for any indirect, incidental, or consequential damages arising from participation in the competition.
• WFC reserves the right to terminate the agreement with any National Director who fails to meet the terms outlined in this agreement. If necessary, WFC may modify the terms and conditions to reflect changes in competition rules, processes, or legal requirements. National Directors will be informed of any changes at least 30 days in advance.
• Termination of the agreement may occur without notice if WFC discovers intentional wrongdoing, such as holding back payments or falsifying participant information.
• National Directors agree to keep all WFC proprietary information confidential, including participant details, business plans, and operational processes. This confidentiality remains in place even after the termination of the agreement.
• All intellectual property related to the WFC Prize, including logos, branding, materials, and competition designs, remain the exclusive property of WFC. National Directors are granted a license to use these materials for the promotion and organization of WFC events, but they may not use them for any purpose outside of their role in the WFC Prize.
• National Directors are encouraged to actively promote the WFC Prize in their respective regions. WFC will provide promotional materials and guidelines, but National Directors are free to pursue their own marketing efforts as long as they align with the branding and messaging of the WFC Prize.
• Any sponsorship deals, partnerships, or collaborations developed by the National Director must be disclosed to WFC for approval to ensure alignment with the global brand and competition standards.
• Any disputes arising out of or related to this agreement shall be resolved through good faith negotiation between the parties. If the dispute cannot be resolved through negotiation, the parties agree to submit to mediation or arbitration under the laws of Delaware, USA.
• This agreement shall be governed by and construed in accordance with the laws of the State of Delaware, USA. Any legal proceedings arising from this agreement shall be held in Dover, Delaware.
• Neither party shall be liable for any failure or delay in performance under this agreement due to circumstances beyond their control, such as acts of God, pandemics, or governmental restrictions.
• This agreement represents the entire understanding between the parties and supersedes any prior agreements, whether oral or written.
